How To Transfer Outlook Emails to Gmail?

Outlook being so professional has so many features making it one of the most commonly used email apps. What makes Outlook stands apart from the other apps is its accessibility. But even with so much ease and convenience, there’s something that most of us are still struggling with, and that is transferring email from Outlook to Gmail. 

There are thousands of emails in our Outlook account arranged in multiple folders. We all are aware of transferring our emails from Gmail to Outlook using IMAP or POP3. But what about reversing it?

Transferring emails manually requires the Outlook app, so make sure that you have the app installed on your device. You can also use any other app installed on your device like Mozilla Thunderbird for transferring the emails. Here’s how to transfer emails from Outlook to Gmail manually:

  1. Launch the Outlook app on your device and sign in to your Outlook account. 
  2. Export all your files and emails to a .pst format and then save it on your hard drive. Here’s how to do it:
    • Go to file, open export & import, and then click on export to a file. 
    • And then simply save the file on your device.

  1. Now, go to your Gmail account in a browser and enable IMAP
  2. Then, add your Gmail account to the Outlook app. To do so:
    • Go to file, click on info.
    • Then add account.
    • Now sign in
  1. After that, import the downloaded email file to your Gmail account. Here’s how to do it:
    • On the left-hand menu of your Outlook app, select your Gmail account and click on it. 
    • Go to file and open import & export.
    • In that folder, select Import from another program or file
    • Then select the file in the backup and wait for the import to finish. 

Note: The menu option differs depending on the version of your Outlook app. 

  1. After that, sign in to your Gmail account on a browser and see if it works. 

With these steps, you will be able to upload your Outlook’s mail to your Gmail account. Even after uninstalling your Outlook app from your device once finished, you will be able to use your copied emails in the Gmail account. 

There are some things to keep in mind about this whole process of transferring email from Outlook to Gmail:

  • The export and import of the whole file may take a few days, it depends on the size of your copied file. 
  • During the whole copying process, it is important that your device is turned on. Any sort of disruption will fail the whole import and export.
  • The accuracy of the file imported or exported totally depends on your network connection. 
  • The process of exporting and importing Outlook files may slow down your device for a while. 
  • It is important that you have free storage space on your hard drive to store the copied file from Outlook.

The other way of transferring emails to your Gmail account from Outlook is the automatic one.  This one doesn’t require any sort of import or export of files or any of the above steps. This method is mostly used by the ones who don’t have much time in performing all the steps just to copy their emails or the ones who are not sure if their emails will be safely transferred or not. 

The automatic way is to just use any specialized software. In this method, you won’t have to waste your time experimenting with your emailing clients or doing all the import or export. In the meantime, all the other files and the pictures will be transferred in their initial format.

After You Have Migrated to Gmail

To have a much smoother transition from Outlook to Gmail, there are a few steps you can follow once the emails are copied. 

Let’s see how it works:

  1. First, set up the forwarding rules in Outlook: 

If you are not planning on uninstalling Outlook once the emails are copied to your Gmail account, you can actually set Outlook to forward the incoming emails to your Gmail account automatically. With this, if someone sends you an email on Outlook that you are not using at the moment, you will receive the same on your Gmail account as well. 

Note: These rules won’t be able to work if the Microsoft account itself is deleted

  1. Try to learn the features that you used previously in Outlook like the flag rules that works in Gmail.
  2. Make sure that your Outlook emails are successfully copied or transferred to your Gmail and you are satisfied with the outcome, then delete emails in Outlooks

Moving Outlook emails to Gmail is not very hard and is actually something that once in a while we all are required to do. What matters is how we do it, and that depends on the technique we apply. 

If you are an experienced Outlook user, you should go for the manual way as you won’t mind doing a bit of work yourself, the automatic way is basically for the new users. But in all sincerity, the automatic way is quite more efficient and trustworthy than the manual way, this is because moving emails using a desktop app requires way more manual work than you think and is also not guaranteed if it will work properly or not, that means even after doing all the hard work by yourself, you might end up losing your important emails.
